Registration software for homeschool co-ops

Run co-op registrationwithout the spreadsheet.

Timberclove gives every family a fair turn in line, holds their seats while they pay, and keeps installments, waitlists, and teacher payouts in one place. Your coordinators can stop reconciling payment screenshots at the kitchen table.

Why we built it

The night registration opens, the coordinator's inbox fills up, the science lab is gone in four minutes, and someone spends the next month matching payments to names. A co-op runs on volunteers. Their evenings are worth more than that.

From open registration to a full roster

The same four steps every semester, and none of them need someone watching an inbox.

  1. 01

    Families get in line

    No more first-email-wins

When registration opens, families join a queue and get their turn in order. Nobody has to sit up refreshing a form to beat their friends.

  2. 02

    Seats are held, not lost

You choose 2 to 7 days

Picking a class holds the seat while the family pays. If they don’t, the hold lapses and the next family on the waitlist gets an offer.

  3. 03

    Families pay their way

In full, or 3 or 6 payments

Paying in full takes 5% off. Everyone else splits tuition into monthly card payments, and the office records cash and checks at the desk.

  4. 04

    Teachers get paid directly

The co-op’s share comes off the top

Teachers connect a Stripe account and tuition goes straight to them, less the percentage your co-op keeps. No checks to write at the end of term.

Ready before your next semester

Most of the setup is information your co-op already has in a spreadsheet somewhere. We'll go through it with you.

Talk through your setup
  1. 1

    Set up your school

Add your school and semester dates, and decide how long a seat stays held. Prices lock once registration opens, so every family pays what they saw.

  2. 2

    Add classes and teachers

Enter each class with its tuition, supply fees, seat count, and meeting times. Teachers are invited by email and never have a password to forget.

  3. 3

    Bring in your families

Add households yourself or let parents sign up. A household is matched by email, so the office can fix a typo without anyone starting over.

  4. 4

    Open the doors

Choose the morning registration opens. The queue, seat holds, waitlist offers, and payment reminders run on their own from there.

What the office stops doing

The jobs that used to eat a coordinator's week now happen without anyone remembering to do them.

Chasing late payments

Families get a reminder before each payment is due and a weekly note once it’s late. The desk shows who is behind.

Working the waitlist by hand

When a seat opens, the next family gets 24 hours to take it. If they pass, the offer moves down the list.

Matching payments to names

Card, cash, and check payments land on one statement per household. A voided payment stays on record beside the original.

Rebuilding class rosters

Teachers see a live roster for each class, including students whose families are partway through a payment plan.

Forwarding parent emails

Teachers message a household about their student from the app, even a family that has never signed in.

Losing last year’s records

Nothing is deleted. Old semesters, classes, and families are archived, so the history is there when someone asks.

Questions coordinators ask

Do parents need to create a password?

No. Parents sign in with their Google account or with a six-digit code we email them. There is no password to forget or reset.

Can families still pay with cash or a check?

Yes. The office records cash and checks on the registration desk, and the payment counts toward the family’s next installment just like a card payment.

What happens when a family holds a seat and never pays?

The seat stays held for the time you set, anywhere from two to seven days. After that it is released and offered to the next family on the waitlist. The registration is kept on record, not deleted.

How do teachers get paid?

Each teacher connects a Stripe account in a few minutes. Tuition for their classes goes to them directly, less the co-op’s percentage. Until a teacher connects, payments for their classes go to the co-op’s account.

Can we change a class price after registration opens?

Prices lock when the semester opens, so no family is charged differently from the family before them.

We already have a list of families. Do we start from scratch?

No. The office can add households before parents ever sign in. When a parent signs in with the same email, their household, students, and messages are waiting for them.
